1. Agreement to Terms
By accessing or using ExpensesGuru ("the Service"), you agree to be bound by these Terms and Conditions. If you disagree with any part of these terms, you may not access the Service.
ExpensesGuru is operated by ExpensesGuru Ltd, a company registered in the United Kingdom. These Terms govern your use of our website and expense management services.
2. Description of Service
ExpensesGuru provides AI-powered expense management services, including:
- Automated extraction and categorization of expenses from receipts, invoices, and bank statements
- Personal finance tracking and family expense management
- HMRC-compliant expense categorization for business and accountancy use
- Multi-client management for accountancy professionals
- Secure document storage and processing
- Expense reporting and analytics
3. User Accounts
To use certain features of the Service, you must register for an account. You agree to:
- Provide accurate, current, and complete information during registration
- Maintain the security of your password and account
- Accept responsibility for all activities that occur under your account
- Notify us immediately of any unauthorized access or security breach
You must be at least 18 years old to create an account and use the Service.
4. Subscription and Payments
Beta Period: During the Beta period, all subscription tiers are available free of charge. We will provide at least 30 days' notice before the Beta period ends and paid subscriptions begin.
Subscription Tiers: Different subscription tiers offer varying limits on clients, expense items, and document processing. Your usage must remain within your tier's limits.
Billing: When paid subscriptions begin, you will be billed in advance on a monthly or annual basis. Subscriptions automatically renew unless cancelled before the renewal date.
Refunds: Refund requests will be considered on a case-by-case basis. We reserve the right to refuse refunds where significant use of the Service has occurred.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws
- Upload documents containing malicious code or harmful content
- Attempt to gain unauthorized access to our systems or other users' accounts
- Use the Service to process documents that you do not have the right to process
- Interfere with or disrupt the Service or servers connected to the Service
- Use automated systems (bots, scrapers) to access the Service without permission
- Resell or commercially exploit the Service without our written consent
6. Intellectual Property
Our Content: The Service, including its original content, features, and functionality, is owned by ExpensesGuru and is protected by copyright, trademark, and other intellectual property laws.
Your Content: You retain ownership of all documents and data you upload to the Service. By uploading content, you grant us a limited license to process it for the purpose of providing the Service.
7. AI Processing and Accuracy
Our Service uses artificial intelligence to process and categorize expenses. While we strive for high accuracy:
- AI-generated results should be reviewed by users before use in official filings
- We do not guarantee 100% accuracy in expense extraction or categorization
- Users are responsible for verifying the accuracy of processed data
- HMRC category suggestions are for guidance only and do not constitute tax advice
You acknowledge that AI processing may occasionally produce errors, and you agree to review all processed data before relying on it for any purpose.
8. Data Storage and Security
Location: All user data is stored on servers located within the European Union, in compliance with EU data protection regulations.
Security: We implement industry-standard security measures to protect your data, including encryption in transit and at rest. However, no method of transmission over the Internet is 100% secure.
Backups: We maintain regular backups of user data, but we recommend you also keep copies of important documents.
9. Limitation of Liability
To the maximum extent permitted by law, ExpensesGuru shall not be liable for:
- Any indirect, incidental, special, consequential, or punitive damages
- Loss of profits, data, or business opportunities
- Errors or inaccuracies in AI-processed data
- Service interruptions or downtime
- Actions taken based on information provided by the Service
Our total liability for any claim shall not exceed the amount you paid for the Service in the 12 months preceding the claim.
10. Termination
We may terminate or suspend your account immediately, without prior notice or liability, for any reason, including breach of these Terms.
You may terminate your account at any time by contacting us. Upon termination:
- Your right to use the Service will immediately cease
- You may request export of your data within 30 days
- We will delete your data in accordance with our Privacy Policy
11. Changes to Terms
We reserve the right to modify these Terms at any time. We will notify you of material changes by email or through the Service. Your continued use of the Service after changes become effective constitutes acceptance of the revised Terms.
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.
Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
